Event Staffing HR & ATS Platform

Event Staffing Australia was (and still is under the Event Services Australia brand) a leading provider of casual event staffing needs across both Australia and more recently New Zealand.

My role as a Company Director at the time included development of a custom ATS/HR system integrating with other key vendors including at the time, Deputy and KeyPay (both since moved away from).

The aim of the original system and subsequent iterations was to develop a bespoke system to meet the needs of ESA and the team behind it to meet the challenges of managing a geographically diverse adhoc workforce which required truly understanding the business processes, pain points and working through this to adapt and iteratively develop and adapt features as the business grew and changed.

Technical Architecture

Built a complete HR ecosystem including:

Core Platform

• Applicant Tracking System: Full recruitment pipeline from application to onboarding
• Staff Management: Comprehensive database with availability, skills, and compliance tracking
• Document Management: Secure storage and verification of licences and certifications

Integrations

• KeyPay: Automated payroll data synchronisation
• Deputy: Rostering and timesheet integration
• HireFlix: Video interviews and processing of outcomes using bi-directional webhooks
• VEVO: Real-time visa and work rights verification to ensure compliance with legislation especially for those operating on student visas

Other projects

• Requirement tracking system: Developed a custom system for managing sectional requirements for the Perth Royal Show which made it far easier for the Asset Services team to gather requirements back from areas of the Agricultural Society to manage the logistics of the Show from how much milk they needed day by day all the way up to transportable buildings including custom reporting tools.
